Waste Tracker for receivers

From 1 July 2021, receivers in the reportable priority waste supply chain must use Waste Tracker. Under new laws, anyone who receives reportable priority waste must close out waste records at the time of receivership. Waste Tracker helps receivers comply with their new responsibilities by allowing them to close off waste records in real time.

Waste Tracker replaces EPA’s former Waste Transport Certificate system.

Receiver roles

There are two types of receiver roles for Waste Tracker.

Receiver administrators:

The receiver administrator role has a direct relationship with the receiver business. They can perform administrative tasks for the receiver business such as managing all waste records.

Site receivers:

The site receiver can look up an individual or grouped waste record and perform tasks for a waste receiver business. They can have a direct or indirect relationship with the receiver business.

How to sign up to Waste Tracker

Receivers must complete the following steps to begin using Waste Tracker.

Site receivers and receiver administrators:

Sign up to create a portal account. Waste Tracker users must sign up to the Portal on EPA’s website. You must have an individual email address to sign up.

Receiver businesses:

Complete the Waste Tracker Business Sign Up Form. This form lets EPA know which staff to link to your business account in the role of receiver administrators. Learn more about business sign up.

How to link receiver roles to a business in Waste Tracker

Receiver administrators

Receiver administrators must connect to the receiver business through the Business Sign up form. Once connected, receiver administrators can ‘invite’ site receivers to connect to their business in Waste Tracker. This connection creates a relationship between the receiver business and each receiver site.

Receiver administrators who need to use to the Waste Tracker mobile app, must ‘invite’ themselves to connect to the receiver business.

Site receivers

Site receivers must be invited by a receiver administrator to connect to a receiver business. Site receivers must create the site receiver relationship in Waste Tracker before using the Waste Tracker mobile app.

How receivers use Waste Tracker

In Waste Tracker you can:

receive waste
reject waste
email a record
or view the record details.

You must have a separate waste record for each waste code received in the load.

In closing out each waste record you must enter:

address of the receiver site
the basis for lawful place (for example, permission or specify another pathway)
confirm if it is a bulk package and number of packages
the amount of waste received
treatment code(s)
whether waste will be temporarily confined
note any discrepancies, for example, incorrect waste classification or different amount of waste reported.

Receiving milk runs

A ‘milk run’ means when a driver collects separate loads of the same waste type from multiple locations. A separate waste record is required for each load. These individual records may be grouped together as a grouped waste record. Waste Tracker allows receivers to accept grouped waste records in a single transaction.
